Who and what are we looking for?

We are seeking a motivated and highly organised Office Assistant to join our office in Shillong, India. This is a full-time placement with significant opportunities for personal development. You will support our team by performing administrative tasks, maintaining up to date important work documents, and helping with the synchronisation and communication between the different teams.

Main tasks & responsibilities:

  • Perform administrative tasks, bookkeeping and billing.
  • Organise project logistics.
  • Plan team meetings, provide updates and ensure all team members synchronise work 
  • Provide detailed project updates to project managers, senior management, and other stakeholders.
  • Monitor daily progress of projects
  • Ensure team members have the necessary tools, supplies and resources to complete their tasks on time and within budget.
  • Maintain a track of project reports, invoices, contracts and other financial files.
  • Manage and facilitate flow of information among project team members.
  • Maintain project calendar and milestones.
  • Assist leadership team members in utilisation of calibrating inputs and interpreting outputs.
  • Other duties as assigned by the Management.

Requirements:

  • Bachelor’s or Master’s degree from an accredited university.
  • Two years of professional experience in project management preferably with an international organisation or a large Indian organisation. Or Proven work experience or training in an office assistant or operations role in a high-growth/startup environment.
  • Moderate to Advanced knowledge of Microsoft Office (Outlook, Excel, Word, and PowerPoint), MS Visio, MS Project and Windows Operating System, G Suite software and “back-office” computer systems.
  • Responsible, highly organised, and motivated. 
  • Excellent project and time management skills that utilise digital management tools.
  • A high degree of emotional intelligence and communication skills (both written and verbal), fluency (speaking, reading, writing) in English.
  • Strong analytical, prioritisation and organisational skills for working across multiple departments/disciplines.
  • Diligence and eye for detail.
  • Positive attitude and not afraid to get involved in all areas of the business.
  • Proactive and pragmatic problem solver with well-developed people skills.
  • Comfortable with a fast-changing work environment due to company growth.
  • Strong attention to detail and ability to manage multiple projects simultaneously.

Desirable:

  • Experience of working internationally in varied cultures and countries.
  • Speaks fluent Khasi. Understanding of Jaintia language. 
  • Entrepreneurial mindset.
  • Ability to remain calm and focused in stressful or complex situations.
  • Experience working with virtual teams in fast growing companies.
