Who and what are we looking for?

The Program Coordinator is responsible for coordinating the teams working in relation to a large-scale reforestation project in Meghalaya, India. 

The Program Coordinator works on the field in one of the following regions: West Khasi, South West Khasi or West Jaintia Hills, and coordinates the day to day communication between the local teams and the management team based in the headquarters. In order to create that day to day communication bridge, the coordinator will need to know where everyone is going daily. S/He will also need to understand and speak the local language, be allowed and capable of driving a vehicle, and be comfortable using digital tools (Excel, Google meet..).

You will be reporting to the Program Manager and assist with planning and coordination of programs and their activities. Monitor implementation of program policies and practices. Work to keep programs on schedule, within stated budgets and functioning smoothly. Support program growth and development as necessary.

Main tasks & responsibilities:

  • Working in collaboration with Earthtree’s team and local communities to develop and scale a new tree planting project in Meghalaya, India including contract management, technical implementation, risk management, and communications. 
  • Support the process of building infrastructures to process and sell agro-commodities. 
  • Inspection of planting and site prep, meeting the farmers and checking the progress versus plans.
  • Coordinate the information from the field going back to the management and make sure that the communication from the management to the field is smooth and tasks are understood. 
  • Maintenance of documentation of reforestation activities in appropriate formats and databases.
  • Make sure that farmers have all the necessary information, skills set and material (seeds..) to plant the trees respecting our standards. 
  • Support planning and coordination of the different teams and their activities, including schedule management, building bridges of communication between the teams and organizing meetings or events to keep a smooth communication stream. 
  • Ensure program compliance with internal policies and external requirements.
  • Manage and oversee project activities, ensuring that they are delivered on time, within budget, and to the required quality standards.
  • Provide timely and accurate reports to the Program Manager and stakeholders.
  • Ensure technology is used correctly for all operations (video conferencing, presentations etc.)
  • Monitor project progress and identify areas for improvement, making recommendations for adjustments as needed.

Requirements:

  • A Bachelor Degree, Applied Diploma or Masters.
  • Proven experience as program coordinator or relevant position.
  • Experience working in carbon project coordination.
  • Outstanding verbal and written communication skills.
  • Speaks fluent English and Khasi. 
  • Own a valid driver’s licence and is capable of driving. 
  • Ability to work in an interdisciplinary team, as well as independently, with colleagues based in different locations and time zones around the globe.
  • Excellent project and time management skills that utilise digital management tools.
  • Tech savvy, proficient in MS Office.
  • Excellent problem solving and critical thinking skills.
  • Strong prioritisation, staging, and sequencing skills.
  • Result-oriented work approach with the ability to work quickly from concept creation to the implementation of project programs.

Desirable:

  • Experience working collaboratively with multiple stakeholders, local communities,  governments and NGOs.
  • Experience of working internationally in varied cultures and countries.
  • Experience of communicating to a diverse range of audiences.  
  • Knowledge of budgeting, bookkeeping and reporting.
  • Experience designing and presenting ideas, plans, processes, metrics, and information in a clear and comprehensible manner.
  • Ability to remain calm and focused in stressful or complex situations.
  • Good knowledge of data analysis and key performance indicators.
