Who and what are we looking for?

We are seeking a highly organised and tech-savvy Office Assistant with strong IT skills to provide comprehensive support to an executive or individual in their professional and personal tasks. The ideal candidate will possess excellent communication skills, exceptional attention to detail, and the ability to handle multiple priorities efficiently. This role requires proficiency in IT tools and systems to support the executive’s technology needs and assist with various IT-related tasks..

Main tasks & responsibilities:

  • Information Management: Create, organise and manage digital files, documents, and databases, ensuring their accessibility and confidentiality. Utilise IT tools and software to maintain an efficient filing system and assist with data management tasks.
  • Calendar Management: Coordinate and manage the executive’s professional and personal calendar, scheduling appointments, meetings, and events. Utilise IT tools, such as calendar applications, to ensure accurate and up-to-date scheduling.
  • Communication Management: Assist in managing email, Slack messages correspondence, filtering messages, prioritising requests, and drafting responses. Utilise IT tools and communication platforms effectively to facilitate timely and efficient communication. Proactive communication with other teams with scheduled reporting and feedback on priorities.
  • Field Visit Coordination: Arrange and coordinate field visits arrangements, including vehicle, accommodations. Arrange and coordinate field travel arrangements including booking tickets, Utilise IT tools and travel management systems to ensure smooth travel logistics.
  • IT Support: Provide technical support to the executive, troubleshooting IT-related issues, and liaising with IT departments or service providers for problem resolution. Assist with software installations, updates, and basic troubleshooting of hardware and software issues.
  • Document Preparation: Prepare and format various documents, presentations, reports, and spreadsheets using IT tools, ensuring accuracy and professionalism. Assist with proofreading, editing, and formatting documents as needed.
  • Research and Information Gathering: Conduct online research and gather information on various topics as directed by the executive. Utilise IT tools, search engines, and databases effectively to compile comprehensive and reliable research findings.
  • Project Support: Assist with project coordination and administration, including maintaining project documentation, tracking progress, and coordinating with team members. Utilise IT project management tools and software to support project-related tasks.
  • Meeting and Event Planning: Assist in organising and coordinating professional and personal events, including meetings, conferences, and social gatherings. Utilise IT tools for event planning, guest management, and logistics coordination.
  • Confidentiality and Data Security: Maintain strict confidentiality regarding sensitive information and adhere to data security protocols. Implement measures to protect data privacy and ensure compliance with relevant policies and regulations.

Requirements:

  • Bachelor’s or Master’s Degree in the field of Information Technology, Computer Science, Information Science, Agri-business Management, Agriculture, Horticulture, Forestry or Business Administration with a focus on IT provide a solid foundation of knowledge and skills.
  • Proven experience as an Office Assistant or Executive Assistant, preferably with IT-related responsibilities.
  • Strong IT skills, including proficiency in Microsoft Office Suite (Word, Excel, Power Point), email systems, calendar applications, and document management tools.
  • Knowledge of IT systems and basic troubleshooting abilities to provide technical support.
  • Excellent organisational and time management skills, with the ability to multitask and prioritise effectively.
  • Strong communication skills, both verbal and written, with the ability to interact professionally and confidently with internal and external stakeholders.
  • Attention to detail and high accuracy in document preparation and data management.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong problem-solving skills and the ability to work independently with minimal supervision.
  • Flexibility and adaptability to handle changing priorities and deadlines.

Desirable:

  • Certifications such as CompTIA A+, MS-CIT, Microsoft Certified IT Professional (MCITP), Cisco Certified Network Associate (CCNA), or similar credentials that can demonstrate your proficiency in specific areas of IT.
  • Knowledge of project management principles and tools.
  • Experience of working internationally in varied cultures and countries.
  • Speaks fluent Khasi. Understanding of Jaintia language. 
  • Entrepreneurial mindset.
  • Ability to remain calm and focused in stressful or complex situations.
  • Experience working with virtual teams in fast growing companies.
